Attendance Setting Function Introduction

1. Introduction

This attendance setting system uses general attendance settings and shift attendance settings, which can also be used flexibly in conjunction with each other.

If all employees of the company work in a unified and customary manner from 9 am to 5 pm, you only need to set a general and global attendance setting for going to and from work.

If your company adopts a shift system (shift system) attendance method, that is, employees need to go to and from work at different times according to different shifts, you can easily implement shift attendance management in this system.

Attendance sign-in supports multiple methods such as daily, cycle, batch operation, etc. in the attendance management background to quickly complete the scheduling, and also supports employees to select their own shifts to clock in when the administrator has not scheduled shifts.

2. Attendance Setting Operation Process

After entering [Attendance Settings Management Backstage] > Shift Scheduling and Attendance Settings:

If there is no shift-based attendance group, you need to create a new one first. Click Create Attendance Settings > Complete the attendance group settings as needed, including adding attendance personnel, selecting attendance methods, etc. Attendance settings are shift-based > Click Save Settings, and the system will automatically start scheduling.

There are two types of shift calculation:

One is the global shift schedule and attendance setting. After the setting is saved, the system will regularly generate a shift report for the next month. It is suitable for general work arrangements, such as 9 am to 5 pm, working from Monday to Saturday. For general work with a more regular periodicity, it can be arranged through the global setting.

The other is a customized attendance setting. Once this setting is saved, the system will automatically generate a shift report, which is suitable for irregular flexible shift scheduling. For example, if department A plans to work at off-peak hours, 8 hours a day, for 1 month, you can set the specific working hours and overtime scheduling during this period.

In the attendance settings, the most common settings are as follows:

Application Cycle

Set the validity period of this shift scheduling application. If it is long-term, adjust the end date to the maximum, such as 2099.

  • Business model: It is mainly designed to distinguish between day shifts and multi-day attendance settings, and is aimed at situations where people work at night and get off work in the early morning, such as security shifts.
  • Application mode: It is to distinguish between general work schedule and special time schedule for specific get off work and rest periods.
  • Attendance tolerance: It is actually the rule that how many minutes late or early you can leave when you are not considered late. Generally, you can be late for work or leave early by 15 minutes. Otherwise, it will be considered late.
  • Select color: It is mainly designed to use colors to distinguish the attendance schedule report. For example, blue is the general schedule, which requires the company to customize the rules that suit its own company.

3. Basic Attendance Settings (as shown above)

  • Basic attendance settings: mainly include commuting time settings, effective attendance period settings, and attendance tolerance settings.

  • Working time setting: that is, the start time of work, for example: work starts at 9:00 and the end time is 18:00.

  • Valid attendance time period setting: To avoid misjudging the entry and exit records during the workday as the attendance time, the valid attendance time is set. For example, the effective attendance time is within one hour before and after work. Assuming 9:00 is the working time, then 8:00 to 10:00 is the valid card signing time. If it is beyond this range, then 8:00 to 10:00 is the valid card signing time. If it is beyond this range, then 8:00 to 10:00 is the valid card signing time. It can also be regarded as a personnel management process.

  • Attendance tolerance: This has been explained above: it is the rule that how many minutes late or early you can be allowed to arrive at work or leave work is not considered late. Generally, it is allowed to arrive at work late or leave work early by 15 minutes. Otherwise, it is considered late.

4. Shift scheduling and exceptions

Attendance exception settings:

Case 1, Weekly special settings, for example, set to work 1 hour later and leave 2 hours earlier every Saturday. You can set specific times.

Case 2, Exclude weekly situations, for example, exclude attendance schedules on Sundays every week. Here it should be noted: If every Sunday is a public holiday in the holiday settings, there is no need to set the exclusion here, of course, repeated settings are also possible.

When not scheduled, employees can choose their own shifts to punch in: After turning it on, when the administrator has not scheduled a shift, employees can choose their own shifts to punch in. But when the administrator has scheduled a shift, employees cannot choose or modify their own shifts.

Note: Attendance and commuting must be set, which is the most basic start and end time period, and excludes Sunday rest days. If it is defined as a holiday, you don’t need to set Sunday rest days. There are also time periods for special days, such as leaving work early every Saturday, and a specific start and end time period is designed for this purpose. Lunch time can also be artificially used as a rest time period, generally 1-2 hours, depending on the needs of the company, or it can be set as the start time.

Lunch time setting: This is actually regarded as a rest time between working hours, which must be between commuting hours. If it is night commuting, it is regarded as a late-night snack time period, which is a rest time period. It is flexibly applied depending on the specific situation. The meal time setting also has valid attendance time periods and allowed attendance tolerances. The principle is the same as commuting, and the allowed attendance tolerance value is not set repeatedly here, but the attendance tolerance time for commuting is used, which is generally 15 minutes.

Overtime period setting: The principle of setting the time of get off work and lunch period is basically the same, but there is a little flexibility. Assuming that you start overtime one hour after get off work, if you need to tap the card to confirm, it is the same as working and going to get off work. However, it is more complicated to tap the card multiple times to sign in, so you can set the time of get off work and overtime to allow missed sign-in (missed punch-in), and the system will use the default time of get off work and overtime pay.

5. Shift Operation

As shown in the figure above, for shift transfer applications, it is necessary to clarify the scenario requirements. In general, if you apply for a shift transfer due to leave, the current situation considered is only the shift transfer request in units of days. If there are multiple shifts on the same day, and the shifts of the two attendance officers are asymmetric, etc., we will not consider implementing one-to-many refined shift transfers in special cases. Of course, this function can be implemented in a targeted manner if it is really needed.

6. Subscribe to the shift calendar

After the administrator completes the shift schedule and attendance settings, the system will regularly generate a shift schedule report for the shifts to be scheduled. The customized attendance settings will immediately generate the corresponding shift schedule report. The two have their own advantages. The global shift schedule and attendance settings are suitable for the company's scheduling of all people under the department. Assuming that the monthly schedule of 50 people in the Finance Department and Accounting Department is selected, the system will regularly generate a shift schedule report for the department. If no department is selected, it will be for all attendance personnel.

The customized shift schedule is not a shift schedule report pre-made by the system at a specific time, but a shift schedule arrangement within a specific period. For example, if a department needs to work 9 hours a day from September 1 to October 20, the corresponding period can be set. After the setting is completed, the corresponding shift schedule will be generated. Then, click the corresponding person to see his corresponding shift schedule.

7. Overview of the mobile scheduling system functions

1. The action terminal includes several characters entering the scene, and the displayed functions are also different accordingly:

  1. General attendance personnel (general employees) role: check attendance records, attendance reports, leave, shift transfer, financial records, salary records, expenditure application, loan application and personal financial functions, etc.

  2. Manager (direct superior leadership) role: check attendance records, monthly, daily, shift-based attendance reports of subordinates; review and approve leave applications of subordinates, financial business-related applications, etc.

  3. Third-party roles: Different industries have different titles. For example, in the brand chain industry, the role is called store manager (the specific title needs to be changed in the system dictionary). If it is a construction industry, this title should be called "second judge"/"contractor", then the role of second judge/store manager, etc. can review financial applications, record, and apply for approval. The third-party role and leadership system are different. The third-party role can only be managed through the front desk and cannot use the back desk. The back desk is only used by the company's internal organizational system. Employees can only use the front desk.
